Constitution

Article I: Purpose

The purpose of the Malaysian Student Association is:

  1. To uphold and promote the image of Malaysia through all possible means.
  2. To provide for the welfare of the Malaysian students at MIT.
  3. To provide for and maintain the interaction and camaraderie amongst Malaysian students and other students at MIT.

Article II: Introduction

Welcome to the Malaysian Student Association (MYSA)! Our society hopes to bring together Malaysians and friends of Malaysia at the Massachusetts Institute of Technology (MIT). Our goal is to create a home away from home, where members can connect, support one another, and share the rich and vibrant Malaysian culture with the wider MIT community. We aim to foster a welcoming and inclusive environment to cultivate a family-like spirit amongst our members.

Throughout the year, we plan to organize a range of activities, from casual social gatherings and cultural celebrations to collaborative events with other student groups. Regardless of nationality, we welcome everyone to join us! Come and join us to experience the warm Malaysian hospitality at MIT!

Article III: Membership

  1. Any member of the MIT community is eligible to become a member of this organization. One is considered a member of this organization in any given academic term if they have attended at least one club activity and one meeting in the preceding or current term.
  2. The organization's membership will at all times consist of at least 5 MIT students and be more than half MIT students.
  3. This organization will not discriminate based on any characteristic listed in MIT's Nondiscrimination Statement.
  4. If this organization charges any monetary dues, there will be exceptions made for students who cannot afford these dues.
  5. The Executive Board reserves the right to revoke the membership or officer position of any member, by a two-thirds majority vote, for non-conduct-related reasons. All conduct-related complaints should be referred to the appropriate channel(s) for resolution, including, without limitation, Institute Discrimination & Harassment Response (IDHR) Office, Committee on Discipline (COD) and SOLE.

Article IV: Officers

  1. This organization will have three officers. The president, treasurer, and secretary will be distinct current MIT students.
    1. President
      1. The president shall be a currently enrolled MIT student.
      2. The president shall be the official representative of the group to any other organization and to MIT.
      3. The president will preside over all meetings.
      4. The president is responsible for determining when meetings are and publicizing this to the group.
    2. Treasurer
      1. The treasurer shall be a currently enrolled MIT student.
      2. The treasurer shall be responsible for the finances of the group.
      3. The treasurer must approve all disbursements from the group's accounts, including reimbursements to members.
    3. Secretary
      1. The secretary shall be responsible for maintaining accurate records of the organization's activities.
      2. The secretary shall record and distribute minutes for all meetings in a timely manner.
      3. The secretary shall manage official communications within the group, including announcements and correspondence.
      4. The secretary shall maintain an up-to-date list of members and contact information.
      5. The secretary shall be responsible for organizing and preserving important documents and records of the organization.
  2. At least half of the individuals who are officers of this organization must be current MIT students.
  3. Elections:
    1. Elections of officers shall occur every year in March.
    2. Any member of this organization is eligible to run for any office.
    3. Quorum for elections is two-thirds of the group.
    4. Any member is elected if they wins a majority of the voting members.
    5. If more than two people are running and no one wins a majority, then the person with the fewest votes is dropped from the ballot and votes are recast.
    6. The term of office runs from one election to the subsequent election.
  4. Removal: Officers may be removed by a two-thirds vote of the members.

Article V: Meetings

  1. Meetings shall be held at least every month.
  2. Meetings shall be presided over by the president, unless they are absent, and in that case the treasurer shall preside.
  3. All decisions shall be made by a majority vote of all members present.
  4. Quorum for a meeting shall be one-quarter of the members of the organization.

Article VI: Amendments

  1. Amendments shall be presented by any member of the organization.
  2. Amendments shall be passed by a two-thirds vote of the members present.
  3. Quorum for amending this constitution shall be two-thirds of all members of the organization.
  4. In no event shall any proposed amendment conflict with ASA or MIT policies.

Article VII: ASA Governance Clause

The Malaysian Student Association agrees to abide by the policies and guidelines of the Association of Student Activities, its Executive Board, as well as the MIT Mind and Hand Book and the MIT Student Organization Handbook, all as may be subject to change from time to time. This Constitution, amendments to it, and the Bylaws of this organization shall be subject to review by the ASA Executive Board, to ensure that they are in accordance with the aforementioned policies and guidelines.
